The ideal candidate will have experience in thearchitecture & interior design industry in New York. You must have at least 10 years of experience with all of these duties. We are not looking to trainanyone or someone who has a passion for the industry and is willing to
learn. The duties will include
-Keep track of principal‚s daily calendar in PC; confirm next day‚s
appointments by telephone
-Make travel arrangements
-Track principal‚s assignments and make sure that others fulfill their
assignments
-Screen visitors; set up appointments for them
-Take phone messages
-Collect files and information needed for principal‚s call-backs
-Open and sort incoming mail
-Collect files pertaining to new correspondence
-Compose letters from standard examples in PC
-Prepare proposals and contracts from standard examples in PC
-Keep track of and order office supplies
-Maintain cash-flow
-Enter timesheets into QuickBooks weekly
-Issue disbursements
-Send monthly statements on open invoices (end of month)
-Create new invoices through 25th of each month from QuickBooks
-Post accounts payable and receivable; make collection calls
-Reconcile bank statement monthly
-Maintain mailing list
-Read articles and reports; summarize main points and mark relevant sections
for attention.

Reports to: VP Contract Design Division / Design Director
Primary Function: Create, participate and contribute to the overall design,
presentation and installation of assigned jobs, working with the VP Contract
Design Division / Design Director
Schematic Design Process When the plans and Marketing Sheet have been forwarded from the VP Contract Design Division to the Senior Designer (SD), the SD will set the design
concept and assign tasks to the Jr. Designer (JD) (if there is one on the
project):Select backgrounds, furniture, fabrics, artwork, accessories and all other
items intrinsic to the design
Instruct Librarian to call for memo samples and prices from vendor
representatives
Instruct JD to make copies of all furniture, fabrics, background items,
art and accessories
Set up Project Book to keep all records of project
Set up or assign task of setting up and executing presentation boards and
renderings if required for Schematic Design Presentation
Write up preliminary budgets for initial pricing
Assign task or execute the Drafting/AutoCAD presentation
Site survey documentation when complete plans are not available
Present Schematic Design to client and obtain sign-off
Design Development
Make any further selections or re-selections required after Schematic
Design has been presented to Client
Design built-in furniture, millwork items, etc.
Write up project or assign task of writing up project for Data Entry
Check all schedules as they are produced
Write up preliminary Drapery Work Order(s) and Soft Goods Work Order(s)
for Data Entry or assign task to JD
Fill in and submit Requests for Data Coordinator, Drafting and Boards or
assign task to JD
direct and participate in drafting/boards as needed for final presentation
Construction Documents
Drafting/AutoCAD as required to help complete Construction Drawings.
Refer to Construction Documents Numerical System / sheet titles
Write Specifications for all items to be ordered and specified
Review of Purchasing Schedules to check for accuracy
Installation
Inspect all goods as they are received in the warehouse to ensure that
they are the correct items and that they are in good condition
Supervise installation to ensure that furniture, artwork and accessories
are placed correctly at the project site
Write up installation report and follow-up as required
Compile defects punch-list for contractor as required
General Office
To attend all inter-office meetings as required
Assist in training Junior Designers to economically and efficiently
produce: budgets, designs, installations and qualify to meet the division‚s
objectives within budgeted guidelines as requested
Work closely with Design Director to create Design Fee Proposals for new
projects
To keep well organized documentation/records during the course of each
project
To maintain a neat, well organized workstation
To assist in the Vendor selections for the Sample Library
Keep accurate records of time/phase spent on each project
To assign tasks and instruct Junior Designers as required
To assist other designers when needed in order to meet project deadlines
Attend major Market Shows annually to stay current on vendor products,
design trends, etc. as requested
Follows in letter and spirit the policies, procedures and processes of
